A Kent law firm have a position for a full-time administrator/receptionist based initially at their office in Orpington with the option for hybrid working following a settling in period. Working on behalf of a large insurance company, the successful candidate will be responsible for the initial administration of new claims relating to road traffic accidents as well as other ad hoc office admin and reception duties.
 
Admin role involves:
·Accurately imputing details of claims into a case management system
·Forwarding of relevant documentation to all parties involved
·Collate uninsured losses information and assess liability
·Liaise with relevant parties to provide updates and deal with queries as they arise
·Chasing and collating of relevant records and documents
·Preparation of Court bundles
·Assist fee earners as required
·Complete appropriate file closure procedures once claim is concluded
 
Reception role includes:
·Greeting and welcoming clients
·Answering, screening, and forwarding all incoming calls and accurately relaying messages
·Sort outgoing and incoming post and deliveries, scanning post to the case management system as required
·Ensuring the reception area, meeting room and general office is clean, tidy and presentable
·Preparing and making drinks for meetings
·Ensure drink making supplies are stocked in the office including ordering water when necessary
·Banking of incoming cheques
·Ensure all office equipment such as photocopiers are functional and working
·Keep an up-to-date stationary stock list and ordering of stationary when required
·Archiving of paper files and maintaining archiving database  office
·Manage meeting room bookings
 
Required skills:
·Excellent communication and customer service skills
·Excellent attention to detail and organisational skills
·Works well under pressure and can adhere to deadlines
· Good IT  and general admin skills
·Any prior experience in this type of role an advantage but not essential as full training provided
